Change Machine is committed to creating an equitable economy for all and your organization’s data is part of the first step to creating lasting economic and policy change.
If your organization has agreed to share COACH data as a part of your Premium Change Machine Platform contract, here is information about what data sharing is and what data is shared.
What is Data Sharing?
All Premium License users of the Change Machine Platform can share their financial coaching data as part of a national data set uniting data from all Change Machine partners, to allow analysis of aggregate level data by Change Machine to understand best practices and opportunities for improving financial coaching practice and economic and social policy in the future.
The Change Machine Salesforce App allows our team to pull de-identified data from your Salesforce environment into a secure data hosting platform in order to build and maintain our national data set. We will need to maintain access to your Salesforce org through a user license with a login credential in order to do so. We would keep this license active unless you choose not to renew at any time, and then this user license can be deactivated.
What Type of Data is Collected?
Only financial coaching data will be collected such as: customer actions & goals, customer expenses and income data, savings goals, etc.)
The Change Machine platform will NOT collect any personally identifiable information. Examples of fields NOT INCLUDED: Name (first & last), birthdate, addresses, phone numbers, etc.

Creating a User with Data Sharing in Salesforce
If a Data Sharing User has not been set up in your Salesforce instance, we can
NOTE: Only Users with System Administrator access can create and/or modify Users, User Permission, and User Licenses.
To Add the Change Machine Data User
- Log into your Salesforce instance and navigate to Setup.
- Search for Users in the Quick Find search box on the left of your screen or click on Users to expand the menu and click on Users.
- If a User already exists with the name Change Machine (or something similar), you can skip to the next section and assign this User a Change Machine License.
- If no User with the name Change Machine already exists, click New User to create the new user account.
- Fill out the following fields with this information:
- First Name: Change
- Last Name: Machine
- Email: installation@change-machine.org

Username: [your org URL name]+installation@change-machine.org
If your Salesforce URL is changemachine.lightning.force.com/, use changemachine+installation@change-machine.org as the username. - User License: Salesforce
- Profile: System Administrator (this will be changed later)
- Click Save when done.
Assign a Change Machine License to the Data User
- In Setup, search for Installed Packages in the Quick Find search box on the left of your screen or navigate to Apps then Packaging. Click on Installed Packages.
- Find Change Machine Production under the Package Name column and click on Manage Licenses to the left of the Package Name.
- Click Add Users and then click Add Users again on the following screen.
- Find the name of the Data User in the list and click the checkbox on the left of that User. Click the Add button below to add a license to the Data User.
If you are not able to assign a Change Machine License to the Data User or do not have enough licenses to do this, use the Chat button to reach out to the Tech Support Team to have this updated.
Assign User Permissions and a Profile to the Data User
- In Setup, navigate to Permission Sets or search for Permission Sets in the Quick Find search box.
- Locate and click on the Change Machine Data Pull Permission Permission Set.
- Click on Manage Assignments and then click Add Assignments.
- Find the Data User that was created in Step 4 and click the checkbox to the left of their name. Click Assign to assign the data permission set.
- Navigate to Users and then Profiles or search for Profiles in the Quick Find search box left side of your screen.
- Click on New Profile to create a new Profile.
- Select Minimum Access - Salesforce for Existing Profile and type in "Data User" for the Profile Name.
- On the next page, click on Object Settings.
- On the Object Settings page, find and click on Contacts.
- On the Contact Settings Page, Click Edit and check any of the Object Permissions that are not checked. Click Save to save these settings.
- Click Profile Overview to go back to the Profile Settings Page for Data User.
- Find and click on System Permissions.
- Click Edit and scroll down to the permissions titled API Enabled, Modify Metadata Through Metadata API Functions and Password Never Expires. Click the checkbox next tothem to enable it. Scroll back to the top of the page and click Save to save this setting.
- Navigate to Users and click on the name of the Data User. Click the Edit button to edit the Profile assigned to the Data User.
- Change the current System Administrator profile to Data User. Click Save to save this change.
