In the COACH app (in Salesforce), your organization can use the Workshops feature to track the various Events your organization may have AND keep track of your financial coaching customers (Contacts) that attended the Workshop.
Creating a Workshop
- Log into Salesforce.
- In the Change Machine (COACH) app, click on the Workshops tab.
- Click New to create a new Workshop.
- Fill out any of the following relevant information about your Workshop:
- Name/Subject: The name or subject of your Workshop.
- Date/Time: The date and time your Workshop starts.
- Duration in Minutes: How long your Workshop will run in minutes.
- Workshop Type: Choose from the following options: Workshop (default), Taxes, Inquiry, and Light-touch.
- Status: Choose from the following options: Attended, Pending, No Show, Rescheduled, Cancelled.
- Workshop Facilitator: Search for and choose an Active Coach that has login access to Salesforce.
- Workshop Site: Type in the the location or site where this Workshop will be held.
- Location: See Scheduling Details is the default but a System Administrator can add more options to this picklist if needed.
- Scheduling Details: Type any additional Scheduling Details needed here.
- Click Save to save the information.
- You can create multiple workshops in row by clicking Save & New to enter information about another Workshop.
Workshop Actions
Workshop Actions are predefined financial security actions that were performed during the Workshop. Actions can include pulling credit reports, calculating total debt, tracking expenses, and more.
To remove a Workshop Action added to a Workshop, click the downfacing arrow to the right of the Workshop Action name and select Delete (twice to confirm the deletion) to remove it.
Edit a Workshop
- Open an existing Workshop.
- Click the Edit button to edit any of the Workshop information fields including the Status of your Workshop.
- Click Save to save your changes.
Adding Contacts to a Workshop
NOTE: There is a limit of fifty (50) Contacts that can be added to a single Workshop. This is a limitation of Salesforce. If you have Workshops that have more than 50 attendees, we recommend creating duplicate Workshops with the same name and adding a number after the title to indicate that this is the same Workshop but account for more than 50 attendees.
- In a newly created or existing Workshop, search for a Contact Name in the Log Workshop Attendance section.
- Select one or more Contacts and click Save to add them as Workshop Attendees.
- If a Contact has not yet been added in Salesforce, you can add them as a New Contact in the Log Workshop Attendance section after selecting Create New Contact.
Adding Contacts to a Workshop will also show on a Contact's Meeting Tab that they will be or have attended a Workshop. This Workshop will also be added to the Workshop Facilitator's Calendar in the Calendar Tab and on their COACH homepage.
Remove a Contact from a Workshop
- Open an existing Workshop that has Workshop Attendees.
- Click the ellipses (...) button to the right of the Workshop Attendee that you want to remove from this Workshop.
- Select Delete to remove this Workshop Attendee.
- Click Delete again to confirm you want to remove the Contact from the Workshop.
Deleting a Workshop
- Open an existing Workshop.
- Click the Delete button.
- Click Delete again to confirm that you want to delete the Workshop.
